Executive Assistant to the CFO


 


The Executive Assistant-CFO will provide administrative support and related functions for the Chief Financial Officer and the senior leadership of the Finance and Accounting organization to include information gathering, data analysis, calendar monitoring, report creation, maintaining a follow-up system for critical tasks, and generating correspondence related to confidential and time-sensitive information.



Duties and Responsibilities:



Essential duties and responsibilities include but are not limited to those listed below:




  • Act as liaison between C-levels, Regional SVP's, and Departmental management staff

  • Provide record keeping, organization and maintenance of all confidential and project-related documents for the C-level and other management staff

  • Compose emails, letters, memos and other highly confidential and time sensitive documents

  • Manage calendar, meeting schedules and appointments for C-Level executives

  • Coordinate extensive travel itineraries for C-Level executives

  • Maintain expense report for C-Level executives

  • Coordinate on-site and off-site events (negotiate contracts; order meals; set up/clean up; provide meeting materials etc.)

  • Partner with departments across organization and provide customer support to ensure completion of various projects

  • Assist in New Employee (Executive Level) Onboarding - order equipment, corporate card, set up expense profile, office space, calendar meetings and coordinate travel and other support (work with multiple departments across organization)

  • Executive Assistant Team

    • Coordinate and attend monthly development programs

    • Partner with HR regarding onboarding

    • Provide support for other Executive Team Members during EA absences/hiring

    • Board Meetings

      • Review presentations; create templates assist with any board prep

      • Assist in preparing financial reports for Business Units, and Functional Leaders and assist in the preparation of presentations to Board of Directors and Senior Management Team including but not limited to: the monthly company-wide operations reviews and Board of Director and Audit Committee meetings

      • Utilize data to prepare comprehensive presentations for a variety of audiences

      • Reconcile data from multiple sources with a high level of accuracy

      • Support the development and analysis of resource forecasts and associated risks/opportunities







  • Analyzes financial information, gathers data, audits reports and provides support to the monthly operations review process.

Education:




  • Bachelor's degree

  • Bachelor's degree in Finance or Accounting preferred



Experience:




  • 7-10 years progressive Executive Assistant experience supporting C-level executives or equivalent combination of education and experience

  • 2 years of experience in finance or accounting strongly preferred

  • Must have experience supporting C-level officers in a public company

  • Requires a broad knowledge of corporate operations and policies

  • Must be able to handle confidential matters in a professional manner

  • Requires latitude for independent judgment and initiative

  • Must be able to effectively communicate both verbally and in written form

  • Must be detail oriented, organized and able to work independently

  • Must possess a basic understanding of financial modeling

  • Must possess a basic understanding of GAAP and basic income statement, balance sheet and cash flow interactions

  • Must possess ability to define problems, collect data, establish facts, and draw valid conclusions

  • Must be able to manage conflicting priorities and to meet established timelines while maintaining accuracy in their work

  • Must possess an approachable and professional demeanor, have highly effective written and verbal communication skills, and the ability to work in a team based environment and to interface with all levels of employees



Computer/Additional Skills:




  • Advanced Word processing skills, Microsoft Office or Google Suite (PowerPoint, Excel, Word, Outlook, and internet experience required

  • Intermediate to advanced experience on board meeting platforms; Adobe Pro; Visio; Expense Reporting (Concur)

  • State Notary Certification preferred
